The situation
Copper Coast Scouts had a committed team and a growing membership, but much of the group’s administration still depended on paper forms, cash payments and information held by a small number of volunteers. Their Facebook page helped with announcements, but it could not act as a reliable home for registrations, consent forms, payments or badge records.
As membership grew, so did the time spent chasing paperwork and checking who had completed each task. The group needed a practical system that volunteers and parents could use without adding another complicated platform to learn.
What I built
I created a public-facing website alongside custom administration tools designed around the group’s actual workflow. The work included:
- A clear online home for group information and updates
- Digital registration and consent forms
- Stripe payments for registrations and subscriptions
- Tools for maintaining member information and tracking badge work
- A foundation that could accommodate campsite bookings and further requirements
The system was developed iteratively with the group. That mattered because the most useful requirements emerged from understanding how leaders already worked—not from imposing a generic membership product.
The practical result
Parents gained a simpler way to complete forms and make payments. Leaders gained a clearer view of outstanding actions and reduced their reliance on paper records. Information became easier to access by the people who needed it, while the group retained a system that could evolve with its activities.
The strongest outcome was not a flashy feature. It was giving volunteers more time for scouting and less administration to manage.
In the client’s words
“Flo was very patient and practical in his approach to giving us a website that could be used to do all of the tasks.”
— Eoin McMahon, Scout Leader
An ongoing working relationship
Custom systems need to remain dependable after launch. The project therefore included ongoing support and room to improve the tools as the group’s needs changed. It is a good example of how a website can do more than advertise an organisation: it can remove friction from everyday work.
