The situation
Expand Your Consciousness Ireland runs small workshops and retreats where privacy and a carefully managed guest list are important. Bookings were being handled through email, phone calls and messages. Each enquiry required a manual check of capacity, payment status and participant communication.
That personal approach suited the nature of the events, but the administration became difficult to sustain as interest grew. A standard public event-booking plugin was not a good fit because the organiser needed to control who could see and book each event.
What I built
I developed a tailored WordPress booking system that combined the convenience of online booking with invitation-only access. Its core functions included:
- Restricting private events to invited customers
- Giving the organiser a straightforward way to issue access
- Managing availability and confirmed bookings
- Taking online payments
- Sending booking confirmations and essential communications
- Keeping the customer-facing experience calm and uncluttered
The system was designed around the business process rather than forcing the business to adapt to an off-the-shelf booking flow.
The practical result
Customers can move from invitation to confirmed booking in one controlled journey. The organiser has a consistent record of availability, payments and participants, reducing the manual work involved in every event.
Just as importantly, the private nature of the retreats was preserved. Automation supports the service without making it feel impersonal.
In the client’s words
“Flo created a booking system and website that is flawless… able to do the specific needs of what I require.”
— Cormac, Expand Your Consciousness Ireland
Built to change with the business
The booking system has continued to receive adjustments as new requirements have appeared. This project demonstrates the value of treating a website as working business infrastructure: it should solve today’s problem while remaining understandable and adaptable tomorrow.
